Proposed features and ideas for Bando:
The Membership Database is designed to extend the currently used Online Green Card System. A Bando will first input their information into the database the first time they are registered for a UI Band. When chair placements are decided upon a band administrator will enter each Bandos netid into a form placing them, in chair order, in the sections where they belong. If the bando is new to UI Bands and has never filled out his information before he will be sent an email which includes a link to fill out his green card. Upon arriving at the link he will authenticate through the campus Bluestem system. He will then be shown a partially filled in form which includes his Name, Address, Phone Number, etc. grabbed from the campus PH system. Information will be color coded based on the privacy of the information.
There will be three types of information gathered by the Database: Public, Protected, and Private. Private information includes data such as the SSN which will never be divulged and will only be accessible by UI Bands staff. Protected information will include things like Addresses and Phone Numbers. This will only be viewable by Bandos who are authenticated through Bluestem. The final level of access, Public, will form the basis of a searchable Alumni database which will provide a way for anyone on the web to search through UI Band Rosters.
In addition to the currently collected fields of the present Green Card system, the membership database will house a table which allows bandos to input more information about themselves (if they wish) such as AIM screenname, ICQ number, Webpage, etc.
There will be no reason to create the membership table every semester. The membership table will remain constant. Instead, each Band will be it's own table containing the Bando ID's (maybe SSN), Section, and Chairplacement of each Bando. In this way, rosters for each band can be generated rather quickly based on year, section, etc. In addition, there will be no need to recopy all the information into a separate database to track alumni information. Generating a persons white card will involve nothing more than grabbing his master information (name, last known address, email, phone) from the membership table and generating which bands he was in by querying the separate band_roster tables.
Priority: 1Band Administrators will be able to do the following:
Each bando will be able to see what uniforms, intruments, items, etc. they have checked out. Equipment and Inventory Tracking administrators will be able to check items out to bandos based on their netid, generate reports as to what items a person has checked out, as well as to generate a report on all checked out items. There could be an option to email bandos about items that are checked out and that need to be returned. Administrators would also be able to add new items to the list. If this were implemented it would use the existing uniform and equipment databases and of course be built around them.
An important feature of Bando. There can be two different things: news and events. News is listed on the news page, while Events are shown in an online calendar and can also be displayed on the news page if so wished.
There are four different types of News/Events:
Clicking on an event will bring you to an event page which will include more details about it including where it is at, time, etc.
Administrators of a particular event will be able to delete, modify it and notify all applicable people by merely clicking a checkbox. For instance, an MI rehearsal could change it's location to the Harding band Building and Dr. Caneva could notify everyone about the change.
Add two magnetic stripe card readers to a laptop (we would probably have two for redundancy) that travels to MI/Basketball Band rehearsals. Instead of flipping a tag, a person would instead swipe their card in one of the card readers. The laptop would function as a visual tagboard displaying who had checked in so far and upon enough people checking in reverting to a mode that displayed who had yet to checkin. Bandos would be able to fill out an absent/late rehearsal request form for any band whereupon the designated attendance administrators would be able to approve or diapprove of their request. If their request was approved and they swiped in late they would not be marked late on the attendance table. All information would be reconciled upon the dumping of the attendance data on the laptop to the UI Bands server which would occur in approximately weekly intervals. Attendance reports can be generated by authorized people as well. Rehearsal requests could be made to be recurring. Authorized people would be able to excuse people after the fact by bringing up their attendance record
If a person walks in late for rehearsal a TA can excuse them on the spot with their UIUC ID card. If a person does not have their UIUC ID card a TA can check them in with their TA UIUC ID card so they are not reported as absent
Forms will be added to the Forms page. Only applicable forms will be displayed depending on the Bands that one is in. Forms will be introduced by a news item. Bandos will be reminded about the form and will be provided email with a link that will take them directly to the form they need to fill out. Form types can include anything and everything from surveys and opinions, roomate request forms, medical forms, etc.
When a student has left_UIUC and they are no longer able to authenticate through Bluestem they will be able to login to maintain their current address, email, etc. by a standard authentication mechanism. This will allow Alumni to login. In addition, the creating of an Alumni Band will be possible, it will be just another Band alongside MI, Symphonic and Concert Bands which will have it's own news, events, etc.
Eventually, Project Bando could become a place to house a newsgroup like environment which will provide a forum for Bandos to discuss Band issues away from the MI newsgroup which is exported to the entire University.
A place to house Footnotes PDF files, as well as Sheet Music and Drill Charts. This will be more of an archive for looking up old shows, footnotes, etc.
Disclaimer: Project Bando is in no way related with the U.S. project established in 1949 to study both the surviving and dead aliens from the Roswell landing.
